State Conference Update #4

Please carefully review this email as it contains several important updates regarding the State Conference:

Conference Schedule

The conference schedule is attached and is also available on the mobile conference site. This includes the assigned testing sessions. Please carefully review the schedule and ensure students arrive with plenty of time to get to the convention center and arrive at their assigned testing session. Better to arrive early for the testing sessions than late.

Judges Needed

We need the help of each and every chapter to spread the word and help recruit judges for our State Career Development Conference. We need to fill over 300 judge shifts. Even if you are located in other parts of the state be thinking of your contacts in the Santa Clara area who you might be able to encourage to sign up as a judge. We need help in reaching out to colleagues, friends, and family and inviting them to sign up as a volunteer judges. Registration Materials

Conference Registration is for the Chapter Advisor only. Please don’t send students to pick up registration materials. Those staying at the Hyatt will pick up their registration materials in the Convention Center in rooms 203/204 from 2:00-4:30 p.m. Those staying at the Marriott will pick up their registration materials in the Sequoia Room at the Marriott from 2:00 – 4:30 p.m.

Mobile Conference Website

Similar to our District Conferences we will be using a Mobile Conference Website for State Conference. Advisors will receive a detailed printed guide as was the case last year, but students will not receive printed programs. The mobile conference website is now live (Candidate Videos and Seating Chart will be posted later) and is located at: www.californiadeca.org/m/scdc

Advisor Meeting

Attend the MANDATORY DECA Chapter Advisor Meeting on Friday evening (February 28th) at 7:00 p.m. in Room 201 at the Convention Center. It is the responsibility of the Chapter Advisor(s) to attend this meeting – no substitutes.

Dress Code

Given the timing of testing sessions and chapter arrivals on Friday we will allow students to wear appropriate casual attire for the testing sessions. The conference dress code will be in effect and enforced for the remainder of the conference. Don’t forget: A student MUST have one of the following to go on stage at the State Conference: Business suit, dress sweater, sport coat, or blazer (the official DECA Blazer is optional at Districts & State).

Written Events

Two quick reminders for students competing in Written Events: 1. All written event projects were due February 7. We will not accept onsite submissions at the conference as all are being judged right now. No exceptions. 2. Students DO NOT need to bring, or turn in, a written copy of their project onsite. What they submitted online is all that was required for the written portion. If they would like to bring a copy of their written project with them to use during their presentation they are encouraged and more than welcome to do so.

No Makeup Testing

Because of our high registration numbers and limited space, makeup testing will only be offered in extreme cases and ALL exceptions must be pre-arranged. If you have an extreme/extenuating circumstance for a student who will be unable to test on Friday those exceptions must be pre-approved. Please contact me via email to request this PRIOR to the conference.

Students Who Need to Take More Than One Test

If a student is taking more than one test that is scheduled during the same testing session, they MUST attend two testing sessions on Friday. As noted in the Quick Reg Guide, due to the size and scope of the State Conference, we are unable to accommodate makeup testing. It is the responsibility of the students to ensure that if they need to take two tests they are in attendance at two testing sessions on Friday night. No makeups will be offered.

Hotel Guest Room Wi-Fi

Marriott properties provide free wireless internet access within the lobby and most common areas. In addition, guests that are a part of Marriot Bonvoy can take advantage of complementary Wi-Fi in their rooms. You must be a member of the Marriott Bonvoy program to access this benefit and may sign up prior to the conference for free. Otherwise there is a charge for Wi-Fi at the Marriott and chapters are responsible for their own Wi-Fi charges. The Hyatt hotel will be offering complimentary Wi-Fi in the guest rooms.

FORM C - Permission Medical Release

As a reminder; advisors must have a fully completed copy of Form C in their possession for each student attending the conference. California DECA does not collect these, but advisors are responsible for having them in their possession at the conference as indicated on the FORM A - Statement of Assurance signed by all advisors.

Hotel Information

Check-in time is 4:00 p.m. Rooms are not guaranteed prior to that time.

Overnight self-parking is $5.00 per vehicle/per night. Each chapter is responsible for their own parking charges.

Bus parking information has been sent directly to chapters who indicated they needed to park buses overnight. If you have not received this information and will need to park a bus overnight please let us know right away.
